This version introduces two factor authentication, even more control over your contracts and something very dark... 😈 Read on for more details. Contracts: You can now (optionally) specify a finance due date Project Settings: You can now allow Vendor staff to approve contracts before they go to the authorised signatories PEXA Projects: When creating a project in PEXA, OPEX first verifies that the Vendors have ABN's present Users: You can now delete all user types Users: Two factor SMS authentication is now available for all user types (law firm, developer, agent & financier) System: Our "Dark Theme" has been improved and the theme setting is now remembered for each user Finance Due Date You can now allow users to specify a date that finance is due (instead of "x days from date of contract). To use this feature just tick the box in Project Settings... ...when turned on the finance block will default to "Manually specified date" - however you'll still be able to toggle back to "X days from date of contract" if you wish. 😉 Vendor staff approval of contracts... You can now allow your vendor users to approve contracts before two key events: After the purchaser signs, and before it's sent to the vendors authorised signatory; and/or After all parties have signed, but before setting the contract to "Exchanged" This gives you the flexibility to fit in with your larger clients workflows. To use this feature, activate it in "Project Settings"... ...don't forget to specify which users you want OPEX to notify when they have a contract that needs approval - this is done via the "Manage Users" section just below the workflow diagram. SMS Authentication You can now setup SMS authentication for all users of OPEX... ...when active the user will be required to enter an SMS code to login. We strongly recommend implementing this feature for all your users. Dark Mode Use the 'theme' toggle at the bottom of the main menu to switch between light (default) and dark modes. The option you specify will be remembered until you decide to change it.

Welcome to the second week of 2024 and you guessed it - we're releasing new OPEX features! 😆 We start the year with more flexibility on purchasers, and their solicitors on exchanged contracts, including: Contracts: You can now change the "Purchaser" on an exchanged contract Contracts: You can now change the "Purchaser Solicitor" on an exchanged contract Sales Schedule: You can now update a Purchasers "TFN" details on the Sales Schedule PEXA Projects: The project level "PEXA Details" screen has been improved Email Campaigns: Purchaser, and Purchaser Solicitor recipients are now ordered by their "lot" number Change Purchasers on exchanged contracts Open an exchanged contract and navigate to the "Purchaser's Details" tab (the first tab) in the wizard, there you'll find a new "Replace Purchaser" link at the top right of the purchaser details section. Replace a purchaser on an exchanged contract Attach a document (nomination forms etc) to evidence the change The original purchaser details are retained, as well as the new purchaser The original contract remains unchanged A history of all changes is kept in a new "Nominations" menu item All "Nominations' are linked to the contract, and the sales schedule Both the original, and new purchaser are used in Email Campaigns After you have changed a purchaser, use the 'history' icon to access the original, and replacement purchaser details. Change Purchasers Solicitor on exchanged contracts Open an exchanged contract and navigate to the "Contract Details" tab (the second tab) in the wizard, there you'll find a new "Replace Purchaser Solicitor" link at the top right of the purchaser details section. Replace a Purchaser's Solicitor on an exchanged contract Attach a document (engagement letter etc) to evidence the change The original solicitor details are retained, as well as the new details The original contract remains unchanged A history of all changes is retained The new solicitor details are used in Email Campaigns Change a Purchasers TFN You can now update a purchasers TFN from the Sales Schedule. PEXA Projects The "PEXA Details" screen has had some layout and validation improvements to reduce the risk of validation errors when communicating with PEXA. We've also made the Vendors 'links' to open their records in a new screen for quick reference. Email Campaigns Recipients are now ordered by their "lot" number (where possible). Just a small 'quality of life' change.

We like to have fun here at OPEX, so in today's update - it's snowing for Christmas! 😆 We did of course deliver a number of new features as well, which includes: Email Campaign Attachments: Can now be any size. Yep, absolutely no file size restriction at all. Checklists: You can now add "Checklists" to projects, these behave much like "Additional Improvements", but without pricing schedules. Checkbox: We've added a new type of input field called "Checkbox", this allows Purchasers to "check a box" in a contract. Agent Merge Fields: We've added two new merge fields for the Vendors Agent, these are "Agent Email Address" and "Agent Name, Agency & Contact Block". These will insert the details of the Agent user who creates the contract. Victorian Fields: We've cleaned up labelling for "Folio", "Volume" and other field labels for our Victorian users. Delete a Master Contract: You can now delete a Master Contract - so long as it hasn't been used. Purchaser Solicitors: Now receive the exchange confirmation email even if they're skipped in the contract process. Branded Login Screen: You can now add your logo to your login screen, which also removes the need for your users to enter the "Account" value. It's snowing! Ok, it's the peak of summer here in Australia - but we're entering the festive season and we wanted to have some fun! Legal software doesn't have to be boring. ☃️ Checklists Ok, a little more serious now... When creating a project, you can now add "Checklists" - these work in the same way as "Additional Improvements" but without prices and are great for adding merged lists to your contracts for things like "Purchaser Language Preference" or anything in a list really. Checkbox This one is simple, but useful. You can now place checkboxes on contracts that Purchasers (or Vendors) can interact with while they're signing. You'll find it in the "Input Fields" section of merge fields. Agent Merge Fields You'll find two new merge fields in the "Contract Details" section for: Agent Email Address Agent Name, Agency & Contact Details When added to a contract the details of the Agent who creates the contract will be inserted from their OPEX user profile. Super handy if you've got lots of different agents issuing contracts in a single project! Branded Login Screen You can now upload your logo and have it show on the login screen instead of our OPEX logo - but that isn't the only change. Now when a Vendor clicks a link in an email to view a contract (for example) they'll land on YOUR login screen and won't need to enter an "Account" value.

Today's update gives you the ability to easily resend contract emails, adds a new "Matter Number" merge field and introduces an even easier signing experience for your purchasers. Enhanced Signing Navigation: Anyone signing a contract through OPEX will now find the process even easier with prompts on what to do as they move through the contract. Resend Contract Emails: Easily resend contract related emails from the status panel. Matter Number: We've added a new field, and merge field for "Matter Number". Contract Status Panel: You'll now see even more information in the contract status. Enhanced Signing Navigation On a desktop, laptop, tablet or mobile phone - signing is now even easier with OPEX's enhanced signing navigation. The signatory is guided throughout the signing process, with clear prompts and a simple user experience. Resend Contract Emails You can now resend contract emails directly from the contract status panel, simply click the resend icon against the email address. Note you will not see the resend icon if the person has already completed their step. 😉 Matter Number When creating a contract you'll find a new "Matter Number" field to the right of the lot sector. This field has a corresponding merge field so you can include Matter Numbers in your contracts.

Today's update further enhances our signing capabilities and introduces a new way to track the settlement process after a contract has exchanged. Signing Acknowledgement: You can now set your own "terms" that people must agree to in order to sign a contract. Signature Audit Report: The "Signature Audit Report" has undergone a HUGE update and now records IP addresses and other metadata. Guarantor Emails: Guarantors now get emails specific to them (instead of the 'purchaser' email). Delete Draft Project: Draft projects can now be deleted. Settlement Status: Once a contract is exchanged, you can now track its settlement stages with new statuses for unconditional , extended , default or settled . Signing Acknowledgement Use the new "Settings" screen to add your own custom terms that each user type must agree to in order to sign. You can configure different terms for: Purchaser Solicitors Purchasers Guarantors; and Vendors Signature Audit Report The "Signature Audit Report" has undergone a complete transformation and now includes a huge amount of meta data to support evidence of signature, including: IP Addresses of all signing parties Details of the device, and web browser used to sign Timestamps for all email events including Email sent Email received Email opened Link clicked (contract opened) Security method used to access the contract (eg: SMS Code) Timestamps for all signing events, including Date signed Location (lat/long) Signature ID (unique token for each signature) We now also include the full "Contract History", which mirrors the "Status" panel found on the right of a contract Settlement Status Exchanged contracts now have additional "Settlement Status" options to help you track the progress of a contract beyond exchange. The settlement status can be set from the Sales Schedule, or Lots screen (on "Exchanged" lots only) and has the following options: Unconditional Extended Default Settled

Today's update introduces a new "Email Campaigns" feature that will change the way you communicate with parties to your projects - we also managed to cram a number of other awesome features in too! Here are the highlights: Email Campaigns: A new feature that allows you to send bulk emails to purchasers, vendors and agents. Use this to send updates about your projects and track delivery, open and bounce rates. A new "Lots" screen: A complete revamp of the Lots screen adds a "Notes" feature and allows you to add lot specific "Additional Pages" that are automatically added when a contract is created for that Lot. Turn off "POA" signing: We've added a new contract workflow that turns off the option for vendors to return a contract to be signed by you under power of attorney. POA email enhancement: If you're signing under power of attorney, clicking the "Open Contract" button in the email will take you directly to the contract signing screen without having to navigate through the OPEX dashboard. Return to Draft: Agent users can now return a contract to draft even if a purchaser has signed it (but if not if a vendor has signed). Multiple developers per project: When creating a new project you can now assign multiple "Property Development" companies to provide better, more controlled collaboration between developers. Email Campaigns Send emails from OPEX to purchasers, their solicitors, vendors and vendor agents Type a hash (“#”) when writing your email to insert merge fields as you type (or select them from the merge fields list, just like creating a contract element) Upload a logo in “Project Settings” to brand your project emails Add attachments See who received AND opened the email! Reports on bounce and open rates Search, filter and export recipients And more! New Lots Screen The “Lots” screen for Projects has been completely redesigned You can now attach lot specific “Additional Pages” that will be automatically inserted to contracts created for that Lot Export the list of lots, including their prices, number of bedrooms and status (Exchanged, Under Contract etc) See the status of any contracts against a Lot, including rescinded contracts Add notes to Lots Turn off "POA Signing A new “auto process” setting allows you to completely turn off the “Sign under POA” function for a Vendor When turned on, the “Sign under POA” button is not available so the Vendor can’t accidently instruct you to sign under POA

In todays update we've made it easier (and faster) to migrate projects to OPEX with the introduction of: Multi-file upload to the Sales Schedule Enhanced Sales Schedule importer supporting additional fields, and multiple purchasers Enhanced Sales Schedule editor, now supporting ALL contract fields Multi-file Sales Schedule Upload In the Sales Schedule you can now upload multiple contracts in a single operation, simply select all your PDF files, allocate them to the relevant lots, click save and sit back and chill while they're all uploaded in bulk. Enhanced Sales Schedule Editor You can now populate ALL information for uploaded contracts, just as if they were created from OPEX.

In todays release of OPEX we've introduced a way to provide notes to a vendor when they're reviewing a contract, added the "Sign All" for POA signatories, and a few other minor improvements, including: When issuing a contract for signature, notes can be added that are shown only to the vendor when they review the contract All fields on the "Vendors" screen can now be edited, even on released projects When signing under Power of Attorney, you can now use the "Sign All" feature (if turned on) Vendor users are no longer needed as "Authorised Signatories" to issue a contract IF a project is configured to always be signed under POA The email sent when a contract is exchanged is now sent to Purchaser Purchaser's Solicitor The user who issued the contract; and All users set to receive notifications to confirm deposit (in project settings) Vendor Contract Notes When sending a contract for signing you can optionally add a message for the Vendor. When the Vendor opens the contract to view, and sign it - the message is shown as a popup, including any formatting you added (bullet points etc).

In todays release of OPEX we've introduced a new way to work with "Additional Improvements" (or "Optional Inclusions" - depending on your preferred terminology). Here's a summary of the changes: Enhanced Additional Improvements You can now add multiple improvement lists (eg: "Outdoor Improvements", "Indoor Improvements") The different improvement lists are their own merge fields, allowing you to add the lists to different parts of a contract (eg: "Outdoor Improvements" might be on one page, with the "Indoor Improvements" on another) Prices can be added to Additional Improvements, which can then be automatically calculated and added to the purchase price of a contract New merge fields have been added to support the automatic calculation, including Improvements Total Cost Improvements Deposit Total Purchase Price (including improvements) Total Deposit (including improvements) Balance Deposit (including improvements) Purchase Price less Deposit (including improvements) Other Changes Agent users can now skip sending to a Purchaser Solicitor The "Deposit" now has a drop-down to select the % value The "Purchaser Solicitor" details are no longer mandatory (unless your contract has a Purchaser Solicitor signature panel) A progress bar has been added for background processing when uploading "Contract Elements" Additional Improvement Lists When creating a new project you can add as many lists as you like to a project (or just one, if you wish). Each item in a list can optionally have a price added to it. Don't want a price? Just leave it as "0.00" and it wont be included in any calculations. 💡 Be sure to name your improvement lists to make them easy to find in your merge fields when creating your contract templates. Creating a Contract of Sale When creating a new contract for a project with multiple lists, or with prices, they'll show above the "Purchase Details" in the Contract Details form. As you select improvements the prices will calculate and show in a summary below. Prices can be changed Notes can be made against items Using our new merge fields, you can create a detailed breakdown of all the costs involved... or if you prefer, just show the "Total Price" including the improvements. It's up to you. 😎

Hold on to your hats, this is a BIG update! 😮 Here's a summary: Events: A new screen that lists all past, current and future date-based events for: Deposit Due Date Finance Due Date FIRB Due Date Sunset Date Contract Exchanged Project Released Events Export: Export the above data to an Excel file Bounce Notifications: You'll now receive an email notification when an email related to contracts bounces Email Status: The contract "status panel" now shows the delivery status of emails relating to contracts, including: Bounced Delivered Opened Clicked (meaning the recipient has clicked the "Open Contract" button in the email) Sales Progress Bar: The project list screen now shows a 'progress bar' indicating how many contracts have been exchanged, issued and remain Sales Progress Widget: Clicking on the new 'sales progress bar' opens a widget, that includes a shortcut button to take the user directly to the projects sales schedule Sales Schedule: A search function has been added to the sales schedule Automatic Price Population: Where an asking price has been populated in the "Lots" screen for a project, it will be automatically populated in the "price" field when creating a new contract Currency Customisation: You can now set the currency symbol you want to apply to merge field for a project Project Settings: This screen has been split in three sections, with new navigation to make it a little easier to use Agents: Agent users have had a few tweaks, including They can now return a contract (that they have created) to draft They now have read-only access to a projects "Lots" screen Contracts: The "30 page" limit has been removed for "Additional Pages" Merge Fields: A new "Settlement Date" merge field (and data input field) have been added for "Post Registration" projects Events The new "Events" screen is a live, searchable report with filters for the following events: Exchanged dates Deposit due date Finance due date FIRB due date Released (when a project is released in OPEX) Sunset date (where all lots have different sunset dates) Fixed sunset date (where all lots have the same sunset date) The Events screen defaults to a 14 day date range, with a "from" date of "yesterday" - the date range can be changed to anything you wish - you can also filter on a specific project. Clicking on a unit number, or purchasers name navigates you to the related contract. Oh, and it can exported to Excel. 😉 Bounce Notifications Bounces happen, but if you don't know about them they're VERY frustrating. Now when a bounce occurs, not only will you see it in the contract status panel but the person who created the contract will receive an email from OPEX (pictured below) with details about the bounced email, including which project and contract the bounce relates to. 📧 Email Status In this release we introduced detailed email tracking of all contract related emails, this allows you to not only know when an email has bounced, but also when it has been delivered, opened and even when someone has clicked on a link in the email! Yes, you are "Big Brother". 🕵️ Sales Progress Bar How many lots are exchanged? How many are under contract? How do I get to the Sales Schedule? ...are questions you'll never hear again with the introduction of our "sales progress bar". Quickly see the sales status of all your projects, hover to see the statistics or click on a bar to see the sales information in a clear, easy to read format - and to navigate to the Sales Schedule super fast. 😎 Sales Schedule Search Now that your users can quickly get to the Sale Schedule, they'll want to easily locate that contract they're looking for. No problem! Use the new search field to find a contract by lot, unit or buyers name. Automatic Price Population Have you populated the "Asking Price" in the Lots screen for your projects yet? If you know the asking prices, now is the time! When selecting a lot during the creation of a contract of sale the "Price" is automatically populated from the Lot screen - saving you, or your agents from having to look for the price. Every little bit helps! 🤓 Project Settings OPEX has got to be the most configurable e-conveyancing system in the world by now, and the "Project Settings" screen is a reflection of that. So we took the time to clean it up a little an split it in three: Auto Process Options; and Branding So now it's nice and easy to find what you're looking for. 🙈
